Switching tools usually stalls on one question: what happens to everything already in the old one. Step 1: Decide what is worth moving
Before exporting, decide what belongs in kliendo. Active and upcoming work should move. Years of completed tasks usually should not; they add noise and are still available in the old tool's archive or your export file. A clean start for active work is one of the main benefits of switching.
List your clients and note which projects in the old tool belong to each. That map drives the rest of the migration.
Step 2: Create the destination clients
Imports go into a client you select, so set up clients first. If you work for agencies as well as direct clients, create the agency structure too; see agencies and direct clients. Existing client information remains untouched by imports, so it is safe to import into a client that already has tasks.
Step 3: Export from your current tool
Each platform has its own export option, usually under list, board or workspace settings. ClickUp, Asana and Monday.com can export lists or boards as CSV. Trello boards can be exported from the board menu. Spreadsheets can be saved as CSV from any spreadsheet app.
Export one project or board per file where possible. Smaller files are easier to preview and assign to the right client.
Step 4: Upload and let kliendo detect the format
Open the import option, select the destination client and upload the file. kliendo detects which platform produced it and maps the columns automatically: titles, descriptions, statuses, priorities, due dates, tags or labels, and checklist items, which become subtasks.
For spreadsheets, clear column headers such as Title, Status, Priority and Due date give the best results.
Step 5: Review the preview carefully
Nothing is saved until you confirm. Use the preview to check a sample of tasks: are statuses mapped sensibly, are due dates in the right format, have checklist items become subtasks, are priorities correct? Look particularly at dates, because day and month order can differ between regions.
If something looks wrong, cancel, fix the file and upload again. It is faster to correct the source than to repair dozens of tasks afterwards.
Step 6: Confirm and repeat per client
Confirm the import and the tasks appear under the selected client. Repeat for each client and project file. Working client by client keeps each import small and each review quick.
Step 7: Clean up and adopt kliendo's structure
After importing, take a few minutes per client to adapt tasks to how kliendo works. Mark the deep-work deliverables as major tasks, sort work into priority quadrants, delete obsolete items, and merge duplicates. Then build your first timed daily plan from the imported work.
This is the point where the migration pays off: the same work, now organized around clients, focus and billable time.
Step 8: Retire the old tool deliberately
Run both tools in parallel for no more than a week, then stop updating the old one. Keep your export files as an archive. Tell clients who had access to the old tool how updates will reach them now, for example through daily check-ins.
Practical example
Moving a design practice out of Trello and a spreadsheet
Lena, a fictional brand designer, has three client boards in Trello and a spreadsheet of retainer tasks for a fourth client. She creates four clients in kliendo, exports each Trello board, and saves the spreadsheet as CSV after renaming its headers to Title, Status, Due date and Notes.
She uploads the first Trello file to Juniper Studio. kliendo detects Trello, maps lists to statuses, labels to tags and checklists to subtasks. In the preview she notices two archived cards she does not need, cancels, removes them from the file and re-uploads. After confirming all four imports, she marks six tasks as major, deletes five obsolete ones and plans her next day. The whole move takes an afternoon instead of a week of retyping.
Common issues and fixes
Due dates are wrong or missing.
Day and month order differs by region. Check the date format in the export, standardize it in the file and import again.
Statuses do not match my old workflow.
kliendo maps to its own statuses. Review the preview, and after import move any tasks that landed in the wrong column.
The format is not recognized.
Export as CSV from the original tool or save the spreadsheet as CSV with clear headers such as Title, Status, Priority and Due date.
I imported into the wrong client.
Delete the imported tasks (they go to trash with 30-day recovery) and run the import again with the correct client selected.
I expected my tasks to keep syncing.
Imports are one-time migrations from exported files. kliendo does not connect directly to ClickUp, Asana, Monday.com or Trello accounts.
